Cancellation Policy

New Client Evaluations: Hallowell Todaro ADHD Center has a seven (7) business day cancellation policy for intake evaluations. Appointments must be canceled either in person or by email/voicemail at least seven (7) full business days in advance to avoid charges. In the case of emergency and/or illness, the patient will not be billed for the missed appointment. We reserve the right to cancel appointments if required documentation is not completed in a timely manner. Please note that insurance does not typically cover late cancellations and no-shows.

Ongoing Services at Hallowell Todaro ADHD Center: Hallowell Todaro ADHD Center has a two (2) business day cancellation policy for therapy, coaching, and medication management appointments. Normal business days are considered Monday through Friday. Appointments must be canceled either in person or by email/voicemail at least two (2) full business days in advance to avoid charges. In the case of emergency and/or illness, the patient will not be billed for the missed appointment. Please note that insurance does not typically cover late cancellations and no-shows.

Cancellations and re-scheduled sessions will be subject to a full charge if we are not notified in advance. This is necessary because a time commitment is made to you and is held exclusively for you. If you are late for a session, you may lose some of that session time.

Services with licensed providers (including therapists and medication providers) may only be provided to individuals in the State of Washington. If you plan to or are traveling or out of the State of Washington at the time of your session, please notify our administrative team immediately to reschedule or cancel your session.

Lobby Policy

Children under the age of 13 must be accompanied by an adult when receiving care at the center. This means that a parent/guardian or appointed chaperone must stay on premises during their appointment. Children are not to be left alone in the lobby at any time.

Confidentiality Policy

At the Hallowell Todaro ADHD Center, we’re committed to providing the highest level of security for our patient records. As per HIPAA, all treatment sessions and test results are highly confidential. No records or results are released to any third party without prior written consent from the patient.

Under HIPAA, a custodial guardian must give consent for therapy services provided to any minor under the age of 13. The custodial guardian(s) will also be given access to reports and other paperwork related to the child’s therapy.

Washington State law allows minors who are 13 years of age or older to receive confidential mental health services without the consent of a custodial guardian. However, at the Hallowell Todaro ADHD Centers, we highly encourage parents to be involved in their child’s therapy regardless of the child’s age.

When a client turns 13 years old, they will be sent via the secure client portal a Release of Information (ROI) to complete if they would like to give their parent or guardian permission to pay for services, schedule appointments or have access to any of their protected health information. At age 13, the client may also elect not to complete a new ROI for their parent or guardian to gain access to information in accordance with state and federal law.

Washington State law also states that therapists are required to report suspected neglect or abuse in any form.

Insurance

For all insurance purposes, Hallowell Todaro ADHD Center is considered an out-of-network provider. Payment for all services is due at the appointment. We are not contracted with any insurance providers, public or private, and do not accept Medicaid, Apple Health, or state assistance. We recommend contacting your insurance provider prior to scheduling with us in order to obtain accurate coverage details regarding out-of-network reimbursement options. We cannot guarantee any coverage options. Please note: In most instances, coaching services are not eligible for reimbursement -- there is no insurance billing code (Current Procedural Terminology, or CPT code) for these services. If you would like to discuss this process further, we are happy to walk you through it over the phone to ensure you have all the information needed.

 

Treatment Guidelines and Expectations

Here is a list of highlights to keep in mind throughout the course of your care with a Hallowell Todaro ADHD Center provider:

  • Providers will be responsive to emails and phone calls during business hours and will make best efforts to ensure your email is addressed within two (2) business days of your provider’s regular working hours.

  • To ensure both the highest level of care and client privacy practices, providers and staff will refrain from engaging in clinical discussions via email.

  • The Hallowell Todaro ADHD Center has a two (2) business day cancellation policy. Appointments must be canceled either in person or by email/voicemail at least two (2) full business days in advance to avoid charges. In the case of emergency and/or illness, the client will not be billed for the missed appointment.

  • If a client determines they need additional support outside of scheduled session times, they are encouraged to schedule a brief check-in or additional sessions with their provider. This can be facilitated through our administrative team.

  • Any provider engagement in clinical services outside of scheduled session times that exceed 10 minutes (including but not limited to letter writing, coordination of care with external providers, parent meetings for child clients and email correspondence), will be billed at the provider’s hourly rate.

  • It is each provider’s ethical responsibility to ensure their client is receiving the appropriate care. If a provider determines that the client’s needs are outside the scope of practice of the provider or the Center, a referral for appropriate care will be facilitated.

  • TELEHEALTH: if the provider or client determines telehealth does not support the needs of the client, the provider or client can/will request transferring to in-person sessions to best support the client.

  • Given that we are a non-emergent services provider, our model of care does not provide 24/7 crisis intervention.
